Send emails automatically to remind your customers about expiring quotes and estimates

Sending your customers a quote or estimate for a product or service so they can review what you are offering and the pricing is an important step in sales. With both Xero and QuickBooks you can send a quote or estimate to a customer and they can accept or decline it to agree to proceed.

The challenge for many businesses is reminding customers to either accept or decline a quote, often customers get busy and can miss the quote in their inbox or forget to review it. Following up quotes manually is time consuming for businesses so it is often missed.

With Paidnice you can now send quote emails just as you do for invoices. Remind your customers before, on or after a quote expires if they haven't yet accepted or declined it.

πŸš€ Soon you'll also be able to send emails based on when a quote is issued, accepted or declined, to automate more of your sales process and workflows.

Create a Quote Reminder

To start click the Quote Email button when you are viewing the group you wish to add an email to.

Configure the Quote Reminder

Once you have added the quote email to your group, you can configure it:

It's a good idea to set a meaningful name for the email using the little pencil and pad icon, in the example above the email is named 'quote expiring soon email' so that when viewed in the group workflow it's easy to see what it is for.

Choose when to send the email - based on a number of days before, on or after the expiry date of the quote. You can also choose a time of day to send.

Then, select the email template you wish to send - you can configure and create new templates in the Email templates screen.

You can select templates that are compatible with email type that you are creating. For example you can only select a quote template for an email that is for a quote reminder.

Reviewing and testing your email

Once you have saved your quote email policy, Paidnice will schedule any actions for future dates so that you can see what actions will be taken and when on the actions screen.

Previewing the email contents

When you are creating and editing the email templates you can send preview emails with placeholder information. This is the best way to review and edit your templates.

You can also force any action that is scheduled to run immediately by clicking the 'action now' button. This will cause the quote email to send to the customer immediately and will ignore Safe mode.

This can be useful if you create a test quote for yourself and you can experience the exact emails your customers will receive by forcing quote emails to be sent on your test quote.
