If you run more than one Xero or QuickBooks organisation under the same business, you can send from the same branded domain (for example [email protected]) in each of them. You only need to verify the domain once. Every other organisation can then link to that verified setup without touching your DNS again.
If you haven't set up a custom domain in any organisation yet, start with How to use a custom domain.
What you need
• The domain is already showing as Verified & Active in one of your organisations.
• Your user has the Settings permission set to Editor in that organisation, and in the organisation you are setting up. Linking is a settings change in both, so the same access applies. You can check this under Settings > Users.
• Custom domains are a Pro feature. You can link the domain now, and emails will be sent from it once the organisation is on a plan that includes custom domains.
Linking the domain
In the organisation you want to add the domain to, go to Settings > Email Preferences and scroll to Custom Domain.
If you administer another organisation with a verified domain, Paidnice shows a box titled Use a domain you've already verified. Pick the domain from the Verified domain dropdown (each option shows the domain and the organisation it was verified in) and click Link domain.
That's it. The domain shows as Verified & Active straight away, with the same DNS records as the original organisation, and there is nothing to add at your DNS provider. You can now choose any address at the domain in your sender profiles, for example [email protected].
If the box isn't showing
The Use a domain you've already verified box only appears when there is a verified domain to link from. If it's missing, check that the domain has actually been verified in the other organisation (not just added), and that your user has Settings: Editor access there.
If you type a domain that another organisation has already verified but you don't have access to, Paidnice won't let you set it up again from scratch. You'll see a message that the domain is already verified by another organisation. Ask an admin of that organisation to give you Settings access, then link it as above.
Removing the domain later
Clearing the domain in one organisation only affects that organisation. The other organisations keep sending from it, and the DNS records stay in place until the last organisation using the domain removes it.
Note: if the original organisation ever removes the domain, the organisations linked to it keep it. The domain is shared between them rather than owned by one.
