Saved views let you keep a set of filters and sorting on your Contacts, Invoices or Actions tables so you can come back to them in one click, for example "Overdue over 60 days" or "Late fees applied this month". Scheduled exports take that a step further: Paidnice can email a CSV of everything matching a saved view to people in your organisation every week or every month, without anyone having to log in and export it by hand.
This is handy for a weekly debtors list to your credit controller, a monthly late fee summary to your accountant, or any report you find yourself exporting on a regular basis.
Which tables support scheduled exports
Scheduled exports are available for saved views on the Contacts, Invoices and Actions tables. Saved views on the Escalations table and on reports can be saved and reused as normal, but cannot be emailed on a schedule.
Scheduling when you save a view
Apply the filters and sorting you want on the table, then click Save view in the table toolbar.
Give the view a Filter name.
Expand the Scheduled email section under the name.
Under Email me this view, choose Weekly or Monthly.
Pick the day (On a weekday for weekly, or On the 1st to 31st for monthly) and the hour (At). Times are in your organisation's timezone.
Under Send to, choose who should receive the email. You are selected by default. You can pick up to 10 users of your organisation.
Click Save filter.
Scheduling or changing an existing view
Your saved views are listed under Saved Filters in the sidebar for each table. Hover over a view and click the cog next to it to open its settings. The same Email me this view, day, hour and Send to options are there, and you can change them at any time. Click Save to apply.
Views that are emailed on a schedule show a small envelope icon in the sidebar. Hover over it to see the schedule and how many people receive it.
What the email contains
Each recipient gets their own email with the subject "Your scheduled invoice export "<view name>" is ready" (or contact / action, depending on the table). The CSV is attached and contains the same columns as an export you run yourself, filtered and sorted exactly as the saved view was when it was last saved.
Exports are limited to 20,000 rows. If a view matches more than that, only the first 20,000 rows are included and the email says so.
Seeing all scheduled exports
Go to Settings > General > Advanced > Scheduled Exports to see every scheduled view in your organisation in one place, including its schedule, who it is sent to and when the next email is due. Click the cog on a row to change or turn off that schedule.
The History table underneath lists recent scheduled exports with their status. Click the download icon to grab the CSV again. Files are kept for 14 days after they are sent.
Turning a schedule off
Open the view's settings from the sidebar cog or the Scheduled Exports page and click Turn off scheduled emails. The view itself is kept. To remove the view entirely, click Delete view in the same window and confirm; this also stops any scheduled emails for it.
Note: only users who are currently members of your organisation receive the email. If a recipient is removed from your organisation they are dropped automatically, and if no recipients remain the export is skipped until you choose new ones. Views saved before scheduled exports were introduced need to be opened and saved again from the table before the schedule options become available; the settings window will tell you if that is the case.
