In this tutorial video, you will learn:

  • Common reasons why invoice emails trigger spam filters.

  • Step-by-step setup for your domain with Paidnice.

  • Email template optimization for higher deliverability.

  • How Paidnice's email tracking shows you when invoices are actually opened.

  • Simple solutions that get your invoices paid faster.

Step 1: Access Email Preferences

  1. Log into your Paidnice account.

  2. Navigate to Organization Settings β†’ Email Preferences.

  3. Locate the Custom Domain section.

Step 2: Add Your Domain

  1. Enter your company domain (e.g., yourcompany.com).

  2. Paidnice will generate CNAME records specific to your domain.

  3. You'll see 3-4 records that need to be added to your DNS.

Example CNAME records:

  • em1234.yourcompany.com β†’ sendgrid.net

  • s1._domainkey.yourcompany.com β†’ s1.domainkey.sendgrid.net

  • s2._domainkey.yourcompany.com β†’ s2.domainkey.sendgrid.net

Step 3: Update Your DNS Records

For finance teams without IT support:

  1. Find your DNS provider: This is usually where you bought your domain (GoDaddy, Namecheap, etc.).

  2. Access DNS management: Look for "DNS Settings" or "Manage DNS".

  3. Add CNAME records: Copy each record exactly as shown in Paidnice.

  4. Save changes: DNS updates typically take 15-30 minutes.

Common DNS providers:

  • GoDaddy: My Products β†’ DNS β†’ Add Record

  • Cloudflare: DNS β†’ Add Record β†’ Type: CNAME

  • Namecheap: Advanced DNS β†’ Add New Record

Step 4: Verify Your Domain

  1. Return to Paidnice after adding DNS records.

  2. Click Verify Domain.

  3. Green checkmarks confirm successful configuration.

  4. If verification fails, wait 30 minutes and try again.

Step 5: Configure Your Sender Address

  1. Set your From Name: e.g., "ABC Company Accounts".

  2. Set your From Address: e.g., "[email protected]".

  3. Consider department-specific addresses:

    • accounts@ for invoices and statements

    • collections@ for overdue reminders

    • noreply@ for automated notifications
