How to send Activity Statements with Paidnice

In this tutorial, we'll show you how to automatically generate and send comprehensive activity statements to your customers directly from Xero (with Paidnice). You can do this alongside existing Outstanding statements, or in replacement of.

Activity statements provide your customers with a complete view of their account history, including all invoices, payments, credits, and current balance.

Unlike traditional outstanding statements that only show unpaid invoices, activity statements give your customers the full picture, reducing payment disputes and improving your cash flow.

Outstanding Statements Show

  • Current unpaid invoices.

  • Invoice dates and amounts.

  • Aging analysis (30/60/90 days).

  • Total balance due.

Activity Statements Show

  • Complete transaction history.

  • All invoices, payments, and credits.

  • Running balance after each transaction.

Setting Up Activity Statements in Paidnice

Step 1: Enable in Statement Policy

  1. Navigate to Policies in Paidnice.

  2. Open your existing statement policy or create new.

  3. Locate "Attach activity statement as PDF" option.

  4. Check the box to enable.

Step 2: Choose Your Configuration

Option A: Both Statements

  • Send outstanding statement (primary).

  • Attach activity statement (supplementary).

  • Best for: Maximum information delivery.

Option B: Activity Statement Only

  • Exclude outstanding statement.

  • Send only activity statement.

  • Best for: Customers who prefer transaction detail.

Step 3: Configure Statement Period

  1. Go to Organization Settings β†’ Statement Settings.

  2. Find "Activity Statement Preferences".

  3. Set default period:

    • Last 18 months (default)

    • Last 12 months (annual view)

    • Last 6 months (recent activity)

    • Custom period (specific date range)
